Items with multiple pages but only one transcription window appears for the entire document?

Do only the "mission" documents have one page for each transcription? I have been transcribing documents relating to NAGPRA, and there are hundred page documents with only one transcription window. While I save often, it does cause a bit of worry. I hope I am explaining this correctly. 

Is there a way to break these down into smaller chunks of transcriptions?

  • I am finding it helpful to do my work in a Word document.  It is much easier to see and proofread.  If I am starting with the extracted text, I copy and paste that into the Word document.   When I am done, I simply paste the finished transcription into the Transcription window.  I also download the original documents which allows me to have 2 windows open at the same time, again making it easier. 

  • Some of our records only have a PDF which would mean it looks like one page and the transcription is a very long scrolling text.  We try not to add these to Citizen Archivist Missions because they are so cumbersome.  We also find that people rarely complete all the pages. But volunteers are more than welcome to transcribe them.  We have a few suggestions if you decide to work on these:

    - If you decide to transcribe the record outside the transcription panel and paste your work back in, it is possible someone else may come along and work on the record when you haven't locked it for your use.  So you could put a note in brackets at the top of the transcription panel  [transcription in progress 8/9/2024] to alert other people.  Just deleted it when you are done.

    - If you are working outside the transcription panel, copy and paste your progress into the panel often.  This will let others know it is in progress.

    - Be sure to include page numbers in your transcription because it can get very confusing without them.  If there aren't page numbers to transcribe, insert the page number of the PDF in brackets [124]

    - If available, use the Extracted Text to help start your transcription.  You can find instructions on how to use Extracted Text to enhance your transcription by Clicking on HELP at the top of every page in the Catalog or in our Get Started Transcribing instructions.

    - In some cases, and if resources allow, Catalog staff can break down the PDF into individual pages and add them to the Catalog description.  If you encounter a PDF over 50 pages and would like to request this, email us at catalog@nara.gov
